Inquiries & Customers

A clear workflow for inquiries

I connect inquiry intake with ownership and follow-up. Your team sees who will respond and what needs to happen next.

Keep track of open inquiries

We review how inquiries arrive and how your team handles them. The workflow we develop collects missing details early and fits the tools you already use.

Timing
Timing follows a review of your inquiry channels, existing tools and the connections required.

We agree which channels and tools to connect. Licences, data migration and additional integrations are listed separately.

Every inquiry needs a next step

The team needs to see who owns an inquiry and when to follow up. These rules shape the form and customer overview.

Statuses and reminders are adapted to your actual workflow.

Example details
Status
New → In discussion → Proposal → Decided
Owner
A named person responsible for the current stage
Follow-up
A date or specific reason for the next response

Choose the first questions carefully

A long form may ask for details that are not needed yet. We distinguish what is necessary to assess the inquiry from what can be discussed later. The questions follow your sales process and the information your team regularly has to request.

Make ownership and follow-up visible

For each stage, we establish when an inquiry is handed over and who takes the next step. Reminders support that work. Declined and unsuitable inquiries also need a clear conclusion so the overview remains useful.

When new customer software is needed

If the existing tool can show ownership and next steps, we can keep using it. If essential functions are missing, we compare an extension with switching software.

  • Forms that collect the details needed for the next step
  • Customer records with status and a responsible person
  • Notifications and reminders to support follow-up
Delivery and handover
  1. Review inquiry channels

You show me typical inquiries. We identify which details are needed and where they are currently missing.

  2. Agree the workflow

We decide who responds, which statuses are useful and when reminders are needed.

  3. Set up connections

I configure the agreed forms and integrations. Your team helps test routing and follow-up.

Before commissioning

Does this fit my business?

Inquiries sit across several inboxes and lists

Follow-up depends on individual memory

Your team needs an overview that fits its existing workflow

What do I need to provide?

Show me typical inquiries and your current process. Together we clarify ownership and the access required.

Can we keep handling inquiries by phone and email?

Yes. We establish which inquiries can be captured automatically and which a team member needs to enter. A phone inquiry can be handled in the same overview if the chosen system supports it.

Does every inquiry automatically become a sales opportunity?

That depends on your process. We agree which details are needed to assess an inquiry and when a person should review it. Incomplete or unsuitable inquiries receive their own handling.

Do I need to buy a new CRM?

Buying new software is not a prerequisite. I first check whether your current tools support the functions and connections needed. Any new licences or software change are discussed before commissioning.

Where does inquiry handling become hard to follow?

Describe how inquiries arrive and who handles them. A sanitised example helps us identify the details and handovers that matter.
